Use cases

Typeset books, magazines, journals, catalogues and club magazines, also from several documents with shared indexes. Output print products as PDF/X with bleed and preflight. Open and continue editing InDesign and Publisher documents. Write, rephrase and translate texts into more than 30 languages with AI in the layout. Create EPUB and HTML for digital output. Do layout work on Linux.

Our assessment

VivaDesigner offers classic DTP features such as alias pages, paragraph and character style sheets, text chains, footnotes and collections with cross-document indexes for Windows, macOS and Linux, plus InDesign import and built-in AI. The Commercial Edition is available as a perpetual licence without a subscription, upgrades cost extra, and the Free Edition is permanently free. In our view it suits publications and work on Linux; documentation is missing for spot colours and separations, and on Macs with M processors it runs via Rosetta.

  • Operating systems: Windows, macOS, Linux

Strengths

  • Desktop program for Windows, macOS and Linux; according to VIVA, your order includes download links for all supported platforms.[2][22]
  • The Commercial Edition is available as a perpetual licence without a subscription; according to VIVA, a purchased licence can usually be used without time limit.[1][2]
  • The Free Edition is permanently free and, according to VIVA, may also be used commercially; it opens, edits, saves and prints documents from other editions.[1]
  • Opens InDesign documents in INDD and IDML format directly via File > Open, plus InDesign templates, snippets and InCopy files.[6]
  • Footnotes, endnotes, automatic indexes and collections for whose documents the program generates tables of contents and keyword indexes automatically.[8]
  • AI for texts, translations into more than 30 languages and image editing is built in, with a free monthly quota; beyond that, VIVA bills via VIVA Points.[3]
  • Since version 11.5, VivaDesigner also opens native Microsoft Publisher documents.[10]
  • Besides PDF, VivaDesigner exports EPUB, HTML, XML and VivaJSON.[9]

Weaknesses

  • According to the system requirements, the current version runs on Macs with M processors via Rosetta emulation; VIVA has only announced a native version.[4]
  • With the perpetual licence, upgrades to new versions are not included and cost extra.[1]
  • VIVA itself classifies opening and editing PDF files (PDF to Layout) as experimental in the version history.[10]
  • VIVA removed the colour tables for Pantone, HKS, DIC and Toyo as outdated with version 10.[14]
  • According to the version history, documents you save with version 11.5 cannot be opened in older versions because the file format has changed.[10]
  • For registration, updates and operation, VIVA requires an internet connection and an e-mail address; according to VIVA, you do not need to be online all the time.[4]
  • In our view, prices and rental terms are difficult to see at a glance: amounts only appear after a selection in the order section, and there is no note on tax there. Editorial assessment

Edition, version and price

VIVA offers VivaDesigner in several desktop editions. For this comparison, the relevant edition is the one that lets an individual use the full program commercially: the Commercial Edition. This comparison therefore uses it as its reference edition. According to VIVA, the Personal Edition is a discounted full version, but only intended for private and non-commercial purposes. As examples, VIVA names print products for non-profit clubs and public educational institutions. If you work with the Personal Edition as a self-publisher, you must add the sentence “Erstellt und gestaltet mit VivaDesigner” (created and designed with VivaDesigner) to the imprint; otherwise the use counts as commercial. There are separate editions with proof of status for pupils, teachers, non-profit organisations and public authorities.

You can buy or rent the Commercial Edition. According to the pricing page, the perpetual licence is valid for life, and upgrades to new versions cost extra. According to the pricing page, the rental runs monthly or yearly and includes all upgrades. Based on the figures on the pricing page, buying is cheaper than renting over three years, so this comparison uses the perpetual licence. The amounts only appear once you select type, edition and currency in the order section, and there is no note on VAT there. VIVA does not describe the exact rental terms, i.e. term, billing and cancellation, unambiguously. Check them before ordering.

The current version is 11.5. The last entry in the version history is build 9241 of 13 July 2026. With build 9232 of March 2026, the file format changed. According to VIVA, the update from 11.0 to 11.1 was free for all users of version 11.

Platforms according to the system requirements:

  • Windows 10 and 11, 64-bit each.
  • macOS from 10.13 to 26. On Macs with M processors the program runs via Rosetta emulation. According to VIVA, a native version for Apple Silicon is in development and announced for 2026; it does not count here yet.
  • Linux as an AppImage, officially for Ubuntu 16.04 to 24.04, Mint, Debian and openSUSE.
  • Browser: the Web Edition is a separate rental offer and is not part of the perpetual licence.

According to VIVA, the user interface is available in more than 20 languages, and the German manual describes the German menus. One licence covers one physical computer. With the licence code you activate any supported platform and can switch platforms. For a second computer of the same person there is an additional licence. When a rental contract ends, according to the FAQ you may no longer use the paid version; you then open your documents with the free Free Edition.

Layout and typography

In VivaDesigner, master pages are called alias pages. You assign them to document pages, also by drag and drop in the Pages palette. According to VIVA, images and texts are kept when you assign a different alias page to a page, so you can try out different designs with the same content. You set margins and columns per alias page, and you can protect individual alias pages and layers with a password if needed.

For text there are style sheets for characters and paragraphs, plus styles for text layouts, images, objects and tables. Next styles, GREP styles and nested styles format text automatically, and a text format inspector searches for any style attributes. Longer texts flow through several text objects via text chains; the manual describes manual and automatic text chains and shows them with examples of book layouts. A baseline grid is available; the version history mentions it in connection with automatic line spacing.

Further typesetting features according to the vendor's pages:

  • OpenType features and a character inspector,
  • text in all languages and writing directions, including Arabic, Hebrew and East Asian texts,
  • footnotes, endnotes and running headers,
  • nested tables with any content and dedicated style sheets for table objects,
  • formula typesetting with MathML,
  • text on paths, path tools, Pathfinder as well as barcodes and QR codes.

You place images in image objects, via import, drag and drop or the clipboard. Since version 11 you swap image contents by drag and drop and have imported images fitted into the frame automatically. Layers help with multilingual documents, for example with one layer per language. For screens and social media, version 11 brings hundreds of new paper formats according to VIVA. VIVA does not describe a template library with ready-made designs like the ones browser-based design platforms offer. Work modes with the levels beginner, advanced and professional let you restrict the options on offer.

Print and digital output

For print output, VIVA names colour management, bleed and layers when printing and exporting PDFs. PDF/X is available; the version history mentions PDF/X-3 and PDF/X-4, for example when exporting collections and when showing the colour profiles of images. According to the manual, you can install additional ICC colour profiles, and since build 9232 there is a greyscale profile for greyscale PDFs. The program handles CMYK images, and an overview of the editions for version 10 names the colour models RGB, CMYK and HSV. The readable vendor pages do not describe soft proofing.

An optical preflight shows print problems. The manual has a section on preflight for images and separate preflight preferences. For handing files to the print shop there is the Package and Send function, which creates a package, and you can embed images and fonts. The manual also names colour trapping, and the version history mentions the option “Schwarz überdrucken” (overprint black).

Be careful with spot colours: VIVA removed the colour tables for Pantone, HKS, DIC and Toyo as outdated with version 10. The readable vendor pages do not describe whether and how you create spot colours and output them as separations, or whether there is an on-screen separations display. If you plan print products with spot colours, clarify this with the print shop beforehand and try it out with the Free Edition Plus.

For digital output, VivaDesigner exports EPUB and HTML, including HTML for e-mails. Version 11.5 respects the article order when exporting to EPUB and VivaHTML and supports a variable text width in EPUB. The manual also describes accessible PDFs, speech output as MP3 and output in braille. On request, the program creates PDF bookmarks automatically from the table of contents during export. Interactive PDFs with form fields, buttons or media are not documented; you set links to pages, web addresses and e-mail addresses in the text.

Long documents and automation

For books, magazines and catalogues, the Collection option combines several layout documents into one collection document, similar to a book file. The program adjusts page numbers across the documents automatically, attributes and alias pages can be synchronised between the documents, and VivaDesigner generates tables of contents and keyword indexes fully automatically for all documents of the collection. You export collections together as a PDF, also as PDF/X.

Footnotes and endnotes come with automatic numbering; the manual also describes how to convert one into the other. There are also variables, for example for page numbers, a line counter, anchored objects and text links to pages, web addresses and e-mail addresses. The readable vendor pages do not describe cross-references with automatically updated page numbers or conditional text; both are therefore not verified here.

For structured content, VivaDesigner can import and export XML and open documents in its own VivaXML or VivaJSON format, in which documents are described in XML or JSON. VIVA does not mention DITA.

You can automate the program with scripts in a simplified JavaScript variant. There is an English developer manual for this, and since version 11.4 scripts can run at program start if you want. Third-party plug-ins are not documented.

Data-driven layouts from tables or databases run via the separate product Database Publishing: you design the template in VivaDesigner or InDesign and upload it to the Database Publishing Server, which inserts the data, for example from CSV, SQLite, MySQL or other databases. Since version 11.1, XLSX files also serve as a data source there. A built-in data merge in the Commercial Edition without this server is not documented.

AI, online services and collaboration

VIVA AI is built into VivaDesigner. According to the vendor, it writes articles, headlines and keywords, rephrases and summarises texts, finds contradictions, answers questions about the text and converts text to speech. Automatic translation transfers texts, layers or whole documents into more than 30 languages, and you create multilingual documents with one layer per language. For images, the AI removes backgrounds, elements and lettering, replaces marked areas based on a text prompt, extends images generatively, increases the resolution and creates image descriptions. VIVA does not mention generating images from a text description alone.

Billing works via VIVA Points: each program version has a free monthly quota, beyond which you buy points. VIVA does not state the size of the quota, and points used are not refunded in the event of errors. You have to activate the AI module in the preferences and agree to the terms of use. VIVA does not explicitly describe where the models run for the desktop version. The VIVA Publishing Server provides the same AI actions to developers via a web interface and bills them per request. Neither the privacy policy nor the AI licence agreement says whether VIVA uses content to train AI models, and VIVA does not name the AI providers it uses. According to VIVA, AI results must always be checked.

For registration, VIVA requires an internet connection and an e-mail address. After that, according to the system requirements, a permanent connection is no longer needed. However, the licence agreement requires that the software can connect to a public network and provides that technical data is collected regularly. How long the program runs without a connection is not documented.

For collaboration, the desktop version offers notes, change tracking, access rights and tasks, which according to VIVA let several people work on one document at the same time. VIVA names real-time collaboration for the Web Edition, which you rent separately, optionally together with VivaCloud. VIVA does not describe a central brand kit with colours, fonts and logos. You secure layout templates with work mode, access rights and passwords so that others only change released areas.

Files, exchange and switching

VivaDesigner saves in its own format. With version 11.5 (build 9232) this format changed: documents you save with this version can no longer be opened in older versions. Keep this in mind when you exchange files with others.

When opening third-party formats, VivaDesigner converts the document into its own format. According to VIVA, it supports:

  • InDesign documents (INDD), the IDML exchange format and InDesign templates (INDT) via File > Open,
  • InDesign snippets (IDMS) and InCopy files (ICML) via import,
  • ZIP archives with document, images and fonts,
  • Microsoft Publisher documents since version 11.5,
  • Word documents (DOC and DOCX) as well as RTF, HTML, SVG and XML.

According to the document on what is new in version 11, you can open PDF and Illustrator files as documents and edit them. In the version history, however, VIVA classifies this function (PDF to Layout) as experimental, so it does not count as an import format here.

For the way back, according to VIVA, the program can export documents in InDesign format depending on the edition. According to the manual, this creates an IDML file that you continue editing in InDesign; according to VIVA, how faithfully the layout arrives depends on the InDesign version, the structure of the layout and the export options. VIVA does not say which editions include the export or whether the Commercial Edition is one of them. According to the FAQ, you should then avoid features that InDesign does not have, such as outline initials. You hand documents to print shops as PDF or PDF/X. There are also EPUB, HTML, XML, VivaJSON, PostScript and EPS as well as JPEG, PNG and SVG. With Package and Send you put together a package with everything needed for handing files over.

When switching from InDesign, the import brings existing layouts along; according to the FAQ you should always check the result. According to VIVA, the user interface is similar to that of InDesign. When moving from VivaDesigner to another program, the InDesign export is the obvious way to take your layouts along, provided your edition includes it; otherwise PDF and the other export formats remain.

Who VivaDesigner suits

In our view, VivaDesigner suits you if:

  • you typeset books, magazines, catalogues or club magazines with master pages, style sheets, footnotes and indexes,
  • you work on Linux or switch between Windows, macOS and Linux,
  • you want a perpetual licence without a subscription or would like to start with the free Free Edition,
  • you need to open and continue editing InDesign or Publisher files,
  • you want to translate or rephrase texts with AI directly in the layout.

In our view, VivaDesigner is less suitable if:

  • you regularly work with spot colours and separations and need documented tools for them,
  • you use a Mac with an M processor and care about a native version,
  • you want to create social media graphics quickly from ready-made templates and have formats adjusted automatically,
  • you want to work on documents in real time as a team without renting the Web Edition,
  • you maintain technical documentation with conditional text, cross-references or DITA.

Who is VivaDesigner suitable for?

Editorial assessment

  • For beginners and clubs partly suited

Design flyers, invitations and club magazines without a subscription

German interface, a free Free Edition and, for non-profit clubs, the Personal Edition. A work mode for beginners restricts the options on offer. VIVA does not describe a template library with ready-made designs, and in our view the scope of a classic DTP program requires a learning period.

  • For graphic design and agencies partly suited

Create print files and continue editing InDesign projects

PDF/X, preflight, bleed, colour management with ICC profiles and import of INDD and IDML are documented, while InDesign export as IDML depends on the edition and is not confirmed for the Commercial Edition. Spot colours, an on-screen separations display and soft proofing are not documented, the Pantone and HKS tables were removed, and on Macs with M processors the program runs via Rosetta.

  • For books, magazines and catalogues well suited

Typeset books, magazines and catalogues with many pages

Alias pages, paragraph and character style sheets with GREP and nested styles, text chains, baseline grid, footnotes and endnotes as well as collections with automatically generated tables of contents and keyword indexes across several documents. Plus EPUB and HTML export. Cross-references are not documented.

  • For technical writing partly suited

Maintain manuals in a structured way and publish them as PDF and HTML

Collections, indexes, footnotes, XML import and export, scripts and output as PDF, HTML and EPUB are available. The vendor pages do not describe conditional text, cross-references or DITA, so in our view VivaDesigner is only of limited use for technical writing.

  • For marketing and social media partly suited

Create multilingual print products and social media formats as a team

AI translation into more than 30 languages, AI text functions, page formats for social media and templates locked via access rights. VIVA does not describe a brand kit or automatic resizing; data-driven layouts run via the separate Database Publishing and real-time collaboration via the rented Web Edition.

  • Without subscription well suited

Work locally with a perpetual licence or for free

The Commercial Edition is available as a perpetual licence that, according to VIVA, can usually be used without time limit; the Free Edition is permanently free. The program runs locally, but needs internet for registration and, according to the licence agreement, must be able to connect to a network. Upgrades to new versions cost extra.

Conclusion

VivaDesigner is a classic layout program for Windows, macOS and Linux with alias pages as master pages, paragraph and character style sheets, GREP and nested styles, text chains, baseline grid, footnotes, endnotes and collections with cross-document tables of contents and keyword indexes. It opens InDesign documents as INDD or IDML, since version 11.5 also Microsoft Publisher files, and it exports PDF/X, EPUB, HTML and XML. The built-in AI writes, translates and edits images with a free monthly quota, beyond that via VIVA Points. For commercial use you need the Commercial Edition, which you can buy or rent; upgrades are not included with the purchase. The free Free Edition is limited but may also be used commercially, and the Personal Edition covers private and non-profit purposes. Spot colours and an on-screen separations display, soft proofing, cross-references and conditional text remain open because the readable vendor sources do not document them; VIVA itself classifies editing PDF files as experimental. On Macs with M processors the current version runs via Rosetta, a native version has only been announced, and the program needs an internet connection for registration. The rental terms and whether the prices include VAT are also unclear. In our view, VivaDesigner suits publications and print products without a subscription, especially on Linux, and anyone who wants to continue editing InDesign files. If you work a lot with spot colours or in real time as a team, try out the Free Edition Plus thoroughly beforehand.
