Google has been rolling out a new setting for Google Meet since November 2, 2026: Admins can store a custom notice text that all participants see before entering a meeting. The text appears on the preview screen where you check your camera and microphone, and it also appears for external guests. As the purpose, Google names in the Workspace Updates blog the rules for recordings, transcripts, and notes that Gemini writes in the meeting.
What does the notice show, and how do you set it up?
The notice holds a maximum of 1,000 characters of plain text, plus, if desired, a link, for example to the privacy notices on your website. Two variants are available: The text appears before every meeting or only in meetings in which a recording, a transcript, or AI notes are running. The setting is turned off by default. The notice can only be turned on by an admin with permissions for Google Meet in the Admin console.
How to set up the Meet notice
For admins with Business Standard or higher, rollout since November 2, 2026
- Open the consoleApps, Google Workspace, Google Meet, then the Meet security settings
- Choose a scopeoptionally an organizational unit, otherwise the text applies to everyone
- Enter the textup to 1,000 characters of plain text, plus a link to your privacy notices
- Set the displaybefore every meeting or only with recording, transcript, and AI notes
According to Google, it can take more than 15 days until the notice appears everywhere

Guests from outside receive the text of the organization hosting the meeting. A separate text can be set for individual departments: An organizational unit inherits the value of the parent unit until an admin overrides it there. A sales team that records customer calls thus gets a different notice than the accounting department.
Which Workspace plans get the setting?
The notice is enabled in Business Standard, Business Plus, Enterprise Standard, Enterprise Plus, and Frontline Plus. In addition, the education editions Education Fundamentals, Education Standard, and Education Plus include the setting, as does the Google AI Pro for Education add-on. Business Starter is missing from the list. Self-employed people with the smallest business plan are thus left out.
Google enables the feature for all Workspace accounts at the same time, regardless of whether the admin gets new features immediately (Rapid Release) or collectively later (Scheduled Release). Google does not exclude any countries, so the setting also applies to Workspace accounts in Germany. The Admin Help describes the menu items only in English so far.
What does Microsoft Teams offer in comparison?
The Meet notice informs; Meet does not obtain consent with it. Microsoft Teams goes a step further here: Admins can use a meeting policy to require that participants explicitly consent to a recording or transcription (parameter ExplicitRecordingConsent). Teams also offers its own link to the privacy policy for recordings. Microsoft describes both settings in the Teams documentation.
What this means for you
If you work with Business Standard or higher and record customer appointments, the notice is worthwhile right from the start. It is best to write two or three sentences: what is recorded, who sees the recording, and where the full privacy notices can be found. With the variant for recording, transcript, and AI notes, the text does not disturb ordinary meetings.
A notice is not yet consent. If you need explicit consent from your guests for a recording, you still obtain that consent yourself in Meet, for example verbally at the start or in writing with the invitation.
With Business Starter, you are left with the route via the invitation: You then write the notice and the link to your privacy notices into the calendar event. You can find an introduction to the GDPR in the Zoom tutorial from TutKit.
Google presented the feature on November 3, 2026, in the Workspace Updates blog.
